Concurrent Licensing
Overview
Concurrent licensing ensures that a firm can control how many users are logged into the system at the same time while maintaining flexibility for licence management.
A concurrent licence allows a set number of users to be logged into the system simultaneously.
- If a firm exceeds its licensed limit, additional users attempting to log in will see a warning message.
- Users with licence-management permissions (e.g., Accountants) can increase the licence count to allow more users to log in.
- Efimis support staff are exempt from concurrent licence limits.
Example:
- A firm has 50 users but only 10 concurrent licences.
- Up to 10 users can be logged in at the same time.
- The 11th user attempting to log in will see a message indicating the limit has been reached (screenshot above).
Permission Control
Managing concurrent licences is permission-based.
- Only users with Accountant role or higher can update the licence count in Firm Settings
- Other users will be blocked from making changes.
Users cannot reduce the licence count themselves. Any reduction must be requested through the Support Team
Managing Concurrent Licences
Increasing Licence Count
- Log in as a user with licence-management permissions.
- Navigate to Settings → Firm Settings → Licensing
- Update the Concurrent Licence Count to the desired number
- Click Save
The updated licence count takes effect immediately, allowing additional users to log in without delay.
Reducing Licence Count
- Users cannot reduce the concurrent licence count themselves.
- To reduce licences, contact the Support Team, who will adjust the count on your behalf.
How the System Responds
- Users beyond the licence limit attempting to log in will see a notification message.
- Users with permission can increase the licence count to allow additional logins.
- Support staff and exempt users are not blocked, regardless of the licence count.
Tips & Best Practices
- Regularly monitor active users to ensure licences are optimally allocated
- Assign licence-management permissions only to trusted staff (Accountants or higher)
- Contact Support for licence reductions or complex changes
- Communicate licence limits to staff to avoid login frustration
- Do not share licence-management permissions unnecessarily
- Avoid attempting to bypass concurrent licence limits
- Never ignore the warning message for users beyond the limit; ensure compliance
