Creating/Editing Activities

Overview

Activities define the type of work being performed on a matter. They are used to categorise time entries and itemised work, ensuring accurate billing, reporting, and application of activity-based rates.

Activities are commonly used to:

  • Distinguish different types of legal work.
  • Apply fixed-fee or itemised billing.
  • Improve billing transparency for clients.
  • Support reporting and analysis.

Activities work closely with Billing Rates, Time, and Matters, and can be linked directly to Activity Billing Rates.


What is an Activity?

An Activity represents a category of legal or administrative work performed on a matter.

Activities are used to:

  • Categorise work performed.
  • Apply activity-based billing rates.
  • Enable itemised billing.
  • Improve reporting and analysis.


Each Activity can be linked to an Activity Billing Rate, allowing firms to charge fixed or unit-based fees for specific services.

Types of Activities

Common Activities used in law firms include:

Activities can be customised to suit your firm's structure and billing requirements.


Where Activities are Used

Activities are used across the system in the following areas:

  • Time - when recording time or itemised work.
  • Billing Rates - to apply activity-based pricing.
  • Matters - to categorise work performed.
  • Reports - for analysis and billing breakdowns.


When an Activity has an associated billing rate, that rate will be applied automatically when the activity is selected.

Creating an Activity

To create a new Activity:

  1. Navigate to Settings → Firm Settings →Activities
  2. Click Add Activity
  3. Enter a Code and name, then select the appropriate Item type from the drop-down list: Timed, Itemised or Leave (non-billable), then Save.
The Activity will now be available for selection in Time and Billing Rates.

Editing an Activity

To edit an existing Activity:

  1. Navigate to Settings → Firm Settings → Activities
  2. Select the Activity you wish to edit
  3. Make the required amendments, then 
  4. Click Save

Deleting an Activity

To delete an Activity:

  1. Navigate to Settings → Firm Settings → Activities
  2. Select the Activity you wish to delete
  3. Click on the trash can icon to the right
Once successful, a confirmation notification will briefly flash up on your screen.

Tips & Best Practices

  • Use clear and consistent naming conventions
  • Create Activities that reflect real legal work
  • Use Activities for fixed-fee or itemised services
  • Avoid creating duplicate or overlapping activities
  • Review Activities regularly to ensure relevance
  • Align Activities with Billing Rates for accuracy
