Matter Team Permissions
Overview
In Efimis, matters can be restricted to certain teams. This ensures that only designated team members or specific users can access sensitive matter information.
This guide explains how to:
- Add a user to a team
- Restrict matter access
- Grant access to all matters
Obtaining Access
Adding a User to a Team
If a user does not have access to a specific matter, they can be added to a team:
- Navigate to:
Settings → Firm Settings → Teams - Select the team of choice
- Click the pencil icon to Edit
- In the New Member field, type the employee’s name
- Select the correct name from the drop-down list
- Click Add
- Click Save (located at the bottom right of the screen)
A user can only be added to one team at a time. Adding a user to the team grants them access to all matters associated with that team.
Restricting Matter Access
To restrict access to a specific matter:
- Navigate to the matter you want to restrict
- Select Settings (gear icon) → Permissions
- In the matter card, add the team or user to restrict access
- Tick Is Deny to block access to that team or user
- Click Save
The Is Deny option ensures the selected team or user cannot access the matter. Use this to protect sensitive accounts.Granting Access to All Matters
Access All Matters is applied per user, not by team:
- Navigate to: Directory → Employees
- Search and select the employee you want to update
- Open the employee card
- Click: Update → Employee → Update Employee
- Select Actions → View Permissions
- Add the Access All Matters role to the user
Users with this role can access all matters, including those that are restricted to other teams.Best Practices
- Limit Access: Only assign Access All Matters to trusted users
- Review Teams Regularly: Ensure team membership reflects current responsibilities
- Use Deny Carefully: Restrict access only where necessary to avoid workflow disruption
