Billing Category - Firm Settings

Overview 

This category controls firm-wide billing behaviour and time recording standards.

It defines how invoices are issued, approved, timed, and priced across the system.

  • Auto Approve Invoices for Receipt
  • Billing Defaults

Auto Approve Invoices for Receipt

This setting controls whether invoices are automatically marked as Approved for Receipt

Behaviour

ONInvoices are automatically approved for receipt once normal criteria are met
OFFInvoices require manual approval before becoming receipt-eligible


Key Use Case

  • Primarily used for trust-to-office and bulk transfer workflows. 
  • If disabled, invoices will NOT appear in transfer-ready lists until manually approved.

This section controls default invoice behaviour across the system.

How to Configure

  1. Go to Billing Defaults
  2. Update Default Due Date
  3. Click Save

Controls default invoice payment timing across all invoices.

Time Recording Units

Defines how time is converted into billing units.

How to Configure

  1. Navigate to Minutes per Unit
  2. Set required time unit (e.g. 6 min, 10 min, etc.)
  3. Click Save

Controls how time entries are standardised for billing.

Billing Grades

Billing Grades define structured billing levels within a firm.

How it works

  • Billing Grades can represent levels of seniority or classification
  • Each grade is assigned a billing rate
  • Time recorded inherits the rate linked to that grade

  • Time entries are billed using the assigned grade rate
  • Enables structured pricing across staff groups

Billing Rates  

Billing Rates define monetary values used for billing time and itemised entries.

Definitions:

  • Hourly Rate → Used for timed entries
  • Unit Rate → Used for itemised entries
  • Rate Set → Collection of billing rates
