Notification Templates
Overview
The Notifications feature is designed to automatically distribute templated messages in bulk. This includes:
Emailing Invoices and Receipts to clients
Internal notifications to staff, such as end-of-month accounting reporting
The system also includes a Message Quarantine function, allowing firms to review outgoing messages and set rules as a safety net before they are sent.
Message Quarantine ensures that critical communications are accurate and provides a safeguard against errors in automated messaging.

Each notification type is associated with a specific template that defines the email header and body.
Notification Templates
Notification templates define the content of emails generated automatically or manually.
Templates use tags to populate specific values dynamically, such as client names, invoice numbers, or firm information.
Accessing/Updating Notification Templates
- Navigate to Settings → Firm Settings
- Select the Notifications category
- Click Notification Templates
- Use the search box or scroll to locate the template you wish to update
- Make any required changes → click Update
Tags in the template allow the system to populate information dynamically when sending notifications.Understanding Tags
The system supports firm tags, which pull information from the firm’s entity card in the directory:

Ensure the firm logo and contact details are kept up-to-date, as they appear in all client-facing communications.Setting Firm Sender Defaults
You can configure the sender display name and reply-to email address for all outbound notifications:
- Navigate to Settings → Notifications → Email Defaults
- Enter the Display Name for outgoing emails
- Enter the Reply-To Email Address
- Click Save
Use generic group addresses (e.g., finance@yourfirm.com, billing@yourfirm.com) to ensure emails are actively monitored.
Best Practices
- Review templates regularly to ensure content and branding are accurate
- Test templates internally before sending live messages
- Use shared inboxes for notifications to ensure visibility among staff
- Update firm tags whenever contact details or logos change
- Do not use personal email addresses for outbound notifications
