Invoice Stock Templates (US)

Overview

Efimis includes six out-of-the-box (stock) invoice templates designed specifically for the US legal market.

The templates support both taxable and non-taxable billing, as well as itemized and non-itemized layouts. They also support invoices funded by General Retainer, Trust, or a combination of both, allowing retained funds to be displayed clearly on the invoice.

All templates include US-specific formatting, terminology and banking information by default.

Efimis provides the following standard templates.

General Retainer and Trust Funding

US invoice templates support invoices funded from:

  • General Retainer
  • Trust
  • Both General Retainer and Trust

Where both funding sources are used, invoices display them separately in the following order:

  1. Less Amount to be Transferred from General Retainer
  2. Less Amount to be Transferred from Trust

This provides a clear audit trail showing how retained funds have been applied to the invoice. 

A single invoice can include deductions from both General Retainer and Trust. 

Both deductions are displayed only when applicable. If both are applied, General Retainer is always listed before Trust

Invoice Totals

Invoice totals are calculated automatically based on the selected template and invoice content.

Depending on the template, invoices may display:

  • Fees
  • Costs
  • Sales Tax
  • Total Amount
  • General Retainer deductions
  • Trust deductions
  • Payments received
  • Remaining Invoice Balance

Only information relevant to the selected invoice template is displayed.

Itemized Templates

Itemized templates provide additional detail for each billed item.

Depending on the selected template, this may include:

  • Work Date
  • Description
  • Fee Earner
  • Hours
  • Amount
  • Original Amount
  • Sales Tax

These templates provide greater transparency for clients who require detailed billing information.


But Say Templates

The But Say templates display both the original value of work and the final billed amount after billing adjustments.

These templates include:

  • Original Amount
  • Write Ups/Write Downs
  • Final billed value

This allows clients to clearly see where work has been discounted or written down before billing.


US Regionalization

All US invoice templates include US-specific formatting and terminology.

Date Format

All dates are displayed using:

MM/DD/YYYY


Banking Details

Australian banking information has been replaced with US banking details.

Templates display:

  • Routing Number
  • Account Number

These values are configurable for each firm.

US terminology is used throughout the templates.

Online Payments

US invoice templates do not include the credit card payment section used on Australian invoice templates.

Instead, US firms are expected to use their configured online payment solution.

  • Select the invoice template that best suits your client's billing requirements.
  • Confirm the correct Tax or Non-Tax template is selected before generating an invoice.
  • Use Itemized templates where detailed work descriptions are required.
  • Use But Say templates where billing adjustments should be visible to clients.
  • Review General Retainer and Trust deductions before issuing invoices.
  • Verify Routing Number and Account Number before distributing invoices.
  • Keep firm banking details and Notification of Your Rights wording up to date.
