Custom Views and Filters

Overview

Custom Views allow you to tailor how information is displayed across the system, making it easier to find and work with the data you need. 

You can:

  • Save your preferred views.
  • Set a default (preferred) view.
  • Adjust filters and columns to display relevant data.

Custom views are available on screens including Items, Directory, Matters, Invoices, Purchases, Banking, and the General Ledger.


System Views

Each listing screen comes with standard System Views relevant to the data shown.

Example:
The Invoices list includes:

  • Active
  • Outstanding Invoices
  • Closed Invoices
  • Credit Notes

Set a System View as Default:

  1. Click the drop-down next to the view.
  2. Select Set as Preferred View.
Your preferred view will automatically display each time you access that listing.

Filtering Views

Filters allow you to narrow down data and save specific views.

To add a filter:

  1. Click Add Filter.
  2. A list of relevant filters will appear. Use the Search bar or select filters manually.
  3. Set your filtering criteria and click Apply.
Filters can be combined to create complex custom views for more precise data display.

Adding or Removing Columns

Columns determine which data fields are visible in your view.

To adjust columns:

  1. Click Columns on the right-hand side of the screen.
  2. Tick columns you want to display; untick those you want to hide.
Column sections can be saved as part of a Custom View for quick access in the future.

Creating Custom Views

Custom Views allow you to save your filters and columns for easy reuse.

Steps to create a custom view:

  1. Apply the filters you want (see Filtering Views above).
  2. Click the Ellipsis (...) next to the Views drop-down and select Create New.
  3. Enter a Name and Description for your view.
  4. If this should be your default view, tick Set as Preferred.
  5. Click Save.
Your new custom view will now appear in the Views list.

Saving and Editing Existing Views

Both System Views and Custom Views can be edited or saved as new views.

To edit an existing view:

  1. Select the view you want to edit.
  2. Adjust filters and/or columns as needed.
  3. Click Save on the right-hand side and select Save.

To save as a new view:

  1. Select the view to use as a base.
  2. Adjust filters and/or columns.
  3. Click Save and select Save As.
  4. Enter a Name and Description, then click Save.

Resetting System Views

If you want to revert to the original System View:

  1. Click Reset View.
  2. All filters and column changes will be restored to default.

Cloning a View

You can duplicate an existing view to create a new one.

Steps to clone a view:

  1. Click the drop-down next to the view.
  2. Select Clone.
  3. Enter a Name and Description, then click Save.
Cloning is useful when you want a similar view with minor adjustments without affecting the original.

  • Use descriptive names for custom views so they are easily identifiable.
  • Limit the number of filters per view to keep data displays clear and fast to load.

  • Regularly review and clean up old views to prevent clutter in the Views list.
  • Combine column adjustments and filters to create highly efficient views tailored to your workflow.
  • Clone views instead of editing originals if you want to experiment without losing the original setup.
