Requisitions Processing & Posting

Overview

Once a Requisition is approved, it moves into a posting queue for the Accounts & Finance team. From here, users can:

  • Post payments
  • Create purchase orders
  • Create purchase transactions
  • Post receipts
  • Cancel requests
  • Track history of all actions
All approved items are managed via the Requests & Approvals → Ready to Post workspace.

Navigation to Ready-to-Post Items

You can access approved requisitions using either method below (both lead to the same screen):

Open Posting Queue

  1. Go to Requests & Approvals
  2. Select Ready to Post
  3. View all approved requisitions awaiting processing

Payment Requests

Create & Post a Payment

2Locate request and select ⋯ (ellipsis)
3Select Create Payment
4Review and update payment details (e.g. bank details, payment method)
5Click Post
Always verify payment details before posting to avoid ledger errors.

Purchase Requests

Purchase requests can be processed in two ways:

  • Create a Purchase Order (PO)
  • Create a Purchase transaction

Option A: Create a Purchase Order (PO)

Steps

  1. Open Ready to Post
  2. Select request → ... (ellipsis)
  3. Click Create Purchase Order
  4. Review details and add missing information (e.g. Tax Code)
  5. (Optional) Enable Notify Supplier to send PO via email
  6. Click Create Purchase Order
Supplier notifications are sent automatically when enabled.

Option B: Create a Purchase Transaction

Steps

  1. Open Ready to Post
  2. Apply filter: Type = Purchase
  3. Select request → ... (ellipsis)
  4. Click Create Purchase
  5. Confirm or update details (e.g. Invoice Number)
  6. Click Post

Receipt Requests

Post a Receipt

4Click Create Receipt
5Confirm details and attach supporting documents (if required)
6Click Post


Attachments can be added before final posting.

Cancelling  Requests

Approved requests can be cancelled prior to posting.

Steps

  • Locate request in Ready to Post
  • Select ⋯ (ellipsis) → Cancel

Cancelled requests cannot be posted unless re-approved.

View Request History

All activity is tracked in the History tab, including:

  • Outstanding requests
  • Posted transactions
  • Cancelled requests

  • Filter by status, type, or date
  • Search specific transactions

Best Practices

  • Always review data before posting
  • Use filters to reduce list size and improve accuracy
  • Ensure supplier notifications are enabled where required
  • Attach supporting documents for audit compliance
