Creating Journal Templates

Overview 

Journal Templates allow you to pre-populate recurring or similar journal entries, reducing manual data entry and ensuring consistency. Templates are especially useful for entries such as payroll, recurring journals, or standard adjustments.

Using a template:

  • Saves time by reusing common entries.
  • Ensures accuracy by standardising journal data.
  • Supports consistency across accounting periods.

Creating Journal Templates 

To create a Journal Template:

  1. Enter a Standard Journal Entry
    • Follow the steps in the Posting a General Journal to create a normal general journal entry.
    • Include all required accounts, amounts (enter 0 if none), and a description 
  2. Save as Template
    • Select Actions in the top-right of the journal screen.
    • Click Create Template.
  3. Name the Template
    • Enter a unique and descriptive name (e.g., Payroll, Monthly Accrual).
  4. Save the Template
    • Click Save in the bottom-right corner.
    • The template is now available for future use.
Ensure the template name clearly reflects the purpose of the journal to avoid confusion when selecting it later.

Applying a Journal Template

To use a saved template:

  1. Open the Post Journal Screen
    • Navigate to Transaction + from the Ledger Actions menu.
  2. Select Apply Template
    • In the Actions menu (top-right), click Apply Template.
  3. Choose the Template
    • Click on the desired template from the list.
  4. Review and Edit
    • The journal will pre-populate with the template details.
    • Make any necessary adjustments to:
      • Description
      • Debit and Credit amounts
  5. Post the Journal Entry
    • Click Post to save the journal entry, or Post and New to create another entry using the same or different template.
Always review pre-populated entries to ensure amounts or accounts match the current transaction context before posting.

Best Practices 

  • Use descriptive names for templates to make selection easier.
  • Create templates for recurring entries to minimise repetitive data entry.
  • Periodically review templates for accuracy and update amounts or accounts if chart of accounts changes.
  • Avoid using templates for non-recurring or unique transactions to prevent posting errors.
